This guide will walk you through converting your existing Waiting Room to the new version in two phases:
Saving your current Waiting Room content
Building your new Custom Waiting Room 2.0

Phase 1: Save your current Waiting Room content
Before February 27th, follow these steps to back up your existing content. This ensures that none of your text, images, or videos are lost when transitioning to the new system.
Step 1: Open your current Waiting Room
Log into your Doxy.me account.
Click Edit Waiting Room from your Dashboard.
Step 2: Save your text content
To keep any text from your current Waiting Room:
Create a document in Google Docs, Word, or any word processor to store your text
Copy and paste text from each section of your Waiting Room into the document
Step 3: Save your images
If you have original image files, you’re all set!
If you don’t have the image file, you can:
Create a folder on your desktop or in your device’s storage to save images
Save each image:
On a computer: Right-click the image and select “Save As” to store it in your folder.
On a touch device: Tap and hold the image, then select Save to Photos or Files.
Step 4: Save your videos
If you have YouTube or Vimeo videos in your current Waiting Room:
Copy the video links and paste them into your document.
Once you’ve saved all your text, images, and videos, you’re ready to build your new Waiting Room.
Phase 2: Build your new Custom Waiting Room 2.0
Starting February 27th, you’ll have access to the new Custom Waiting Room editor. Follow these steps to rebuild your Waiting Room using the content you saved.
Step 1: Open the new Waiting Room editor
Log into your Doxy.me account.
Click the round button in the bottom-left corner.
Select Settings > Waiting Room.
Click Edit Waiting Room.
You’ll now see the new Custom Waiting Room 2.0 editor:
Left Side – Where you edit and customize your Waiting Room.
Right Side – A preview of what your patients will see.
Begin making edits to start the customization process.
Step 2: Add your saved content to the new editor
Reception Section (Required)
This is where you welcome patients and set the tone for their visit.
Choose a heading from the dropdown:
Welcome to [Provider Name]’s Waiting Room
Welcome to my virtual Waiting Room
Paste any saved content that relates to a welcome message into the text editor.
Use formatting options such as bold, italics, underlines, lists, and links to enhance your message.
If you need a fresh start, click Reset to restore the doxy.me default message.
Patient Instructions (Optional)
If you provided instructions before the appointment, add them here.
Choose a heading from the dropdown:

What to Expect
Make the Most of Your Visit
Paste your saved patient instructions into the text editor.
Professional Information (Optional)
Use this section to introduce yourself and build trust with patients.
Choose a heading from the dropdown:
Get to know [Provider Name]
About me
Paste your saved bio or write a new one.
Upload Your Headshot
Click the headshot circle.
Select Upload Headshot.
Choose the JPG or PNG file you saved earlier or select a new image
Additional Information (Optional)
This section allows you to add videos, images, or extra text to your Waiting Room.
Click Add Content, then choose:
Add video – Paste your saved YouTube or Vimeo link.
Add image – Upload your saved JPG or PNG files.
Add text – Add any extra details from your old Waiting Room.
Step 3: Publish and manage your Custom Waiting Room
Once you’re happy with your setup, click Publish at the bottom of the editor. Your new Waiting Room is now live.
Editing or deleting Sections
To edit a section: Click into it, make changes, and click Publish again.
To delete an optional section: Click the Trash Can icon.
Reverting to the Default Waiting Room
If you’re not ready to use your new Waiting Room yet, you can temporarily switch back to the Default Waiting Room:
Turn off the "Use Custom Waiting Room" toggle at the top of the page.
Final checklist: Have you saved and published everything?
All text content has been copied and pasted into the new editor.
All images and videos have been re-uploaded.
Text has been formatted for clarity and readability.
You have clicked Publish to save your changes.
Your Custom Waiting Room 2.0 is now live
Your patients will now see a modern, well-organized, and engaging Waiting Room when they check in for their visit. To see what your patients experience, click the link at the top of the Waiting Room editor.
