NOTE: This feature is only available on Professional, Clinic, and Enterprise accounts. An owner or admin may need to enable this feature.
Sending an email invite from doxy.me has several benefits when compared to sending invites with your personal email:
Email sent through doxy.me is secure and HIPAA compliant.
Your email address is not shared with your patients.
Please note: your patient will receive the invite from "Doxy.me Telemedicine" (no-reply@doxyme).
There's no need to check your emails for replies from your patients.
Easily add the appointment date and time to the invitation.
Create a custom email message that is autosaved and ready to go for your next email invite (even if you've logged out and back in).
The email your patient receive looks professional. (See example later in this article.)
Here's what's covered in this help article:
Send an email invite through doxy.me
Click on the Invite Via button on the Dashboard, then select Email.
Select Send from doxy.me using the "Choose email type" dropdown (as shown below).
Enter the patient's email address.
Click Send.
The last email address you sent an invite to is displayed.
The email invite window remains open so you can quickly send another invite. Close it using the Cancel button.
If desired, you can also choose to:
Enter the date and time of the appointment.
Edit the message before sending.
Important: do not include protected health information (PHI) in the message.
Here's an example of what the invite looks like to your patient. In this example the provider has added the date and time.
Save time with date and time shortcuts
Date and time are not required. You can add either, both or neither.
The date and time inputs use logic that is both flexible and efficient. For example, you may use your keyboard or your mouse to enter information. Here are some additional time saving tips:
When entering the date you can:
Use any of the following to separate the day, month, and year:
/ (slash)
. (period)
- (dash)
(space bar)
Enter single digits for the day or month, such as 3 for March (instead of 03)
Enter only the last two digits of the year
When entering the time you can choose to:
Enter military time
Enter the hour and then hit the tab key (it will automatically add AM or PM based on typical office hours)
Use any of the following to separate hours and minutes
: (colon)
. (period)
, (comma)
(space bar)
Send emails in 22 languages
You can send patient invites in 22 different languages using the language selector. Choosing a different language will change the invitation message to a translated version of doxy.me's default message. To be clear, if you have already edited the message, selecting a different language will not translate your customized message.
It will remember your selected language until you choose to change it to another language. In addition, it will list the three previously selected languages at the top of the list for easy access.
Create a custom email template
NOTE: If you are on a Clinic/Enterprise account, this feature is only available if enabled by your doxy.me account administrator.
You can edit the content shown in the top portion of the invitation field (see image below). Any edits you make will be saved for future email invites. This is true for each language, which means you can create a custom message for each language you use.
IMPORTANT: If you write a message that is only intended for that specific patient, be sure to remove that content after sending the invite. You can do this by clicking on Restore default message. As a reminder, do not include any Patient Health Information in the message.
Restore the default invitation
If you have made changes to an email invite, you can go back to the original message by clicking Restore default message under the invitation field.
NOTE: This button only appears if we detect any changes to the default message. If you have not intentionally changed the message, it's best to click on it to restore the default message.
